Build the specification around your installed system
A hotel key card is a credential within a specific access system. Identical artwork does not establish identical chip, memory or encoding behaviour. For a new property, request the supported card specification from the lock supplier. For replenishment, collect the lock and encoder model, existing card details and a non-sensitive reference sample. Ordering by “IC card” alone leaves too much unresolved. A phone reading a card also does not prove that a guest door will accept it. The supplier needs compatibility requirements, rather than live guest credentials or operational lock keys.
- Lock brand, model and management software version
- Encoder-supported chip, encoding responsibility and test method
- Separate compatibility requirements for guest doors, common areas and energy switches
Sample the material and artwork together
PVC and wooden cards offer different tactile and visual options. With a wood design, confirm thickness, surface treatment, printing visibility and any insertion requirements before selecting the finish. Assess how the card will be cleaned, handled and replenished during normal operations. A sample should represent the final construction and artwork, including the hotel identity, use instructions and any serial printing. Approve the visual proof and reader performance together; approving artwork before testing the finished card can conceal a compatibility problem until the production order is already placed.
Accept the sample through an actual operating workflow
Successful encoding is only one acceptance step. In an authorised test environment, have the property or lock integrator issue a credential, open the relevant door, cancel it and reissue it. Add common-area and energy-switch checks where applicable. For a dual-frequency construction, verify the two functions separately. Agree which data the hotel writes and which identifiers are printed at the factory. Keep an approved sample, the artwork revision and an agreed inspection method so a future replenishment order can be checked against the same reference.
Include these details in a quotation request
Identify whether the project is an opening, replenishment or brand refresh. Include quantity, preferred material, artwork, delivery destination and requested arrival date. If the chip is undecided, provide the lock-system information and request compatibility review first. Ask for samples, special finishes, encoding, packaging and shipping to be stated separately where relevant. Minimum quantities and production timing need project-specific confirmation. A clear acceptance specification makes quotations comparable and reduces the risk of selecting a card solely on price.
