Define the complete introduction journey
A team card project has two parts: the physical card and the destination presented to its recipient. Decide whether the intended journey leads to an individual profile, company page or contact page you manage, then test how recipients save details or continue the conversation. A card quotation does not automatically include profile hosting, CRM, subscriptions or administration software. Supply a small set of test links and identify who builds and maintains those pages, whether login is required, and the alternative when an NFC reading cannot be completed. Check any printed QR destination separately.
Map each printed card to the correct destination
Agree a handover sheet using non-sensitive examples: internal record ID, artwork file or revision, intended URL and packing reference. State whether cards share a company link or use individual destinations. Proof variable names, roles, languages and department marks against the approved team list, retaining leading zeroes in identifiers. Acceptance should connect the physical card, read-back URL and artwork to the same record. This catches a correct-looking card that opens somebody else’s profile. Agree how the production list is transferred and accessed; the complete employee dataset is unnecessary in a public quotation request.
- Approve artwork and links under one batch revision
- Specify packing by employee, department or location
- Keep the record ID and recheck the mapping for replacements
Compare the finished PVC and metal formats
The gold-foil PVC NFC business card is a catalogue starting point for artwork discussions. The stainless-steel card offers another physical format; first confirm its specific chip and metal construction for the planned phone-reading workflow. Provide dimensions, thickness, front and back layouts, finishes and tap position. Approve appearance and reading together on a printed, assembled sample. A photograph cannot establish compatibility. Ask testers to find the tap location and read names, URLs and QR codes. Agree a physical reference for colour, metallic finishes and fine text.
Keep ownership of link changes and locking decisions
Name the owner of the destination domain and pages before encoding. A stable company-controlled URL can be discussed with your web administrator, who maintains its page or redirect; that is different from rewriting the card’s stored URL. NXP documents irreversible read-only lock bits for NTAG213/215/216, so locking must not precede data approval. Validate the mapping, recipient journey and update process before the responsible owner approves the specific lock instruction. Include a process for old profiles, QR codes and physical cards when someone changes role or leaves the team.
Set the replenishment standard with a pilot batch
Request a quotation with the initial team size, cards per person, expected replacements, delivery region, material preference and non-sensitive artwork example. Pilot the workflow with representative employees and phones, recording the device, sample revision, reading outcome, page content and contact-saving journey. Ask for clear scope covering cards, variable printing, encoding, individual packing and shipping. Quantities and timing need project confirmation. Retain the approved sample, data schema and artwork revision for production, then recheck personnel, role and link changes whenever cards are replenished.
